We're upgrading Office 365 – here's what you need to do

Issue date: 30 June 2020

We're migrating you all to the same version of Office 365 as staff, so you'll have access to its full capabilities.

As part of this, there are some things you need to be aware of and do:

  1. Plan around it being offline for a weekend OneDrive and Outlook will be unavailable from 17:00 on Friday 24 July until 08:30 on Monday 27 July 2020. If you need access to emails or files for any reason (including resit coursework you may be working on), save a copy elsewhere or email it to your personal email account.
  2. Wait for files to resync As of Monday 27 July, your Outlook emails and OneDrive files may be up to a week old. Your latest content will appear as soon as possible. If you need access to something urgently, please contact IT Services.
  3. Scan your files If you notice that any of your emails or files are missing after the migration, or you experience any problems with OneDrive or Outlook after the migration, please contact IT Services.
  4. Reshare shared files If you've shared files with other people, you'll need to give them permission to view/edit again if they still need access.
  5. Reconfigure your apps If you use the mail app and OneDrive sync app, you may need to reconfigure them.
  6. Check your settings If you've previously set up email auto-forwarding or other rules on your mailbox, check that these have migrated successfully.
  7. Redelete Deleted emails/files may re-appear. This is normal, just delete them again if they're not required.

Please note that only the most recent version of a OneDrive file will be migrated, if you need previous versions please contact IT Services. Also, emails stored in multiple folders will only be migrated once.
