Using iCalendar with the Outlook Calendar function

For guidance on adding iCalendar feeds to other calendar applications please see the main iCalendar guidance.

To include a UWE Timetable calendar in Outlook, please do the following:

  1. Login to myUWE
  2. Select the Courses tab > Teaching Timetable sub-tab
  3. In the iCalendar section, depending on what timetables you have available, you may see up to three buttons for the various iCalendar data feeds: Teaching; Exam; and Combined.

  4. Single click on the appropriate button and the system will try to automatically connect with your default calendar function. If Outlook is your default e-mail application, it will now try to open.
  5. If you are presented with an Internet Explorer pop-up window asking “Do you want to allow this website to open a program on your computer?” select “Allow

  6. If you are presented with an Internet Explorer Security pop-up window stating “A website wants to open web content using this program on your computer”, select “Allow

  7. When you are presented with a Microsoft Office Outlook pop-up window asking “Add this Internet Calendar to Outlook and subscribe to updates?’ select “Yes

  8. This will open your Outlook Calendar with your personal calendar on the left, and the imported Teaching/Exam timetable on the right:

  9. To overlay the appointments in one calendar, select the left-pointing arrow left arrow on the timetable tab (to the right of the word "Teaching", for a teaching timetable).
  10. Colour-coded appointments will be displayed in both calendars:

  11. If you do not have a default calendar function set, you will receive a prompt telling you that no default can be found. You will need to add the iCalendar feed manually to your calendar function using the iCalendar feed URL which can be found by clicking on the Options button. Any iCalendar Feed URLs will then be displayed on screen (see screenshot example below). Notes:

  • The Teaching/Exam timetable data is not editable.
  • This guidance supports adding a UWE Timetable calendar to a Microsoft Outlook calendar on a standard Windows computer. The timetable calendar will update hourly by default, but the precise frequency is controlled by your Outlook configuration, and some versions of Outlook will ask you to confirm the frequency you require.
  • To disaggregate the appointments from both calendars, select the right-pointing arrow right arrow on either calendar tab.
  • To hide temporarily the Teaching/Exam timetable from view, select the “X” in the Teaching/Exam tab. It will remain in Outlook, listed under “Other Calendars: Teaching/Exam”. To show it again, select the check box next to it.
  • To remove a Teaching/Exam timetable right-click on the Teaching/Exam calendar tab, then select “Delete Teaching”. This only removes the data from Outlook, it does not delete the data from myUWE.
  • A Timetable imported into your Outlook Calendar will not be visible to others by default, although you can share the Timetable URL with them if you are happy for them to have access to your timetable
